Before the exchange

The application for exchange is a two-step process. In the first phase, the student applies through Humak’s internal exchange application during the application periods. If you are selected and nominated for the target institution, you must then independently apply to the target institution.

Fill out the target university’s own application form and submit it by the application deadline. The application form and deadlines will be announced on the target institution’s website. Make sure to carefully check the application period and required documents.

The most common documents are:

  • Transcript of records – download from Peppi

  • Study Certificate – download from Peppi

  • Learning Agreement (more details below)

  • Language certificate

Every student going on exchange must prepare a Learning Agreement (LA). For study exchanges, the Learning Agreement outlines the courses to be completed during the exchange and how they will be recognized in the degree. For traineeships, the Learning Agreement defines the tasks you will carry out during your internship and the skills you are expected to learn.

The Learning Agreement must always be signed by the following three parties:

  1. The student

  2. PSP-coach or the internship supervisor

  3. The host university or employer

Traineeships abroad

  1. Download the template: Learning agreement for Traineeship.
  2. Once you have filled in your section and signed the document, send it to both the internship supervisor and the employer.
  3. Return the document, signed by all three parties, to erasmusmobility@humak.fi.

Please note: Learning Agreements for traineeships cannot yet be created through the OLA system, and the instructions below do not apply to students going on a traineeship exchange.

Student exchange

Humak uses the Erasmus Without Paper interface, so Learning Agreements are created and signed electronically in the OLA system. Note! Follow the instructions provided by the host university when filling in the Learning Agreement. Partner universities may not necessarily use the EWP yet.

1. Review the exchange courses

Check the receiving institution’s website for the course available to exchange students. Choose courses that fit your study plan. The standard is 20-30 ECTS per semester, but also verify if the institution has specific requirements for exchange students regarding the ECTS. Discuss with your PSP coach how the courses completed abroad will be recognized in your degree.

2. Create the Learning Agreement in the OLA system

Log into the OLA system (link will open in a new window). Fill in the information about the destination country, the receiving institution, and the planned courses. You can find Humak’s information for completing the Learning Agreement in this document: Learning Agreement info Humak.

3. Review and approve the Learning Agreement
Finally, carefully review the details of the Learning Agreement. Sign and approve the Learning Agreement.

NOTE! If you are unable to approve the LA and receive an error message, such as a missing target institution address, please contact: erasmusmobility@humak.fi.

4. Approval of the Learning Agreement at your home institution

Once you have approved the LA, it will automatically be sent to your PSP coach for review. You will receive an email notification when the PSP coach has approved it. If the Learning Agreement cannot be approved, you will receive a request to make changes.

5. Approval of the Learning Agreement at the receiving institution

Option A: The receiving institution processes Learning Agreements through the Erasmus Without Paper interface.
Once your Learning Agreement is approved, it will be automatically sent to the receiving institution for processing. You will be notified electronically.

Option B: The institution does not process Learning Agreements through the Erasmus Without Paper interface: send the LA via email.
If the institution does not yet use this interface, you will need to download the Learning Agreement from the OLA system after your PSP coach’s signature and send it to the institution for approval via email. Once you receive the signed Learning Agreement back, send it to erasmusmobility@humak.fi.

If any changes are made to your Learning Agreement, update it through the OLA system.

 

Once the dates of your exchange have been confirmed, fill in the Erasmus+ grant agreement form below and send the pre-filled version to erasmusmobility@humak.fi. Carefully read through the grant agreement terms and complete the form according to the instructions provided in the file.

If you have decided to travel green, also complete the Green Travel Declaration and return it at the same time as the pre-filled grant agreement.

Once the Erasmus coordinator has calculated your grant, you will receive the completed grant agreement for signing via AtomiSign. The first installment (80%) of the Erasmus+ grant will be paid approximately week4 s after signing the grant agreement. The second installment will be paid after the exchange.

Notes for completing the grant agreement:

  • Remove the instructions written in the file (highlighted in yellow).

  • The student is responsible for filling in their personal information, bank details, mobility details (Article 2), and insurance information (Article 7).

  • The start date of the exchange refers to the first day you are required to be present at the host university, and the end date refers to the last day of mandatory presence.

  • Grant can be provided for travel days if they fall outside the exchange period (see the “travel days” section of the grant agreement).

During the exchange

Student exchange: the preliminary study plan (Learning Agreement, LA) may not always be implemented as planned at the host institution. For this reason, the Learning Agreement might need to be modified during the exchange once the final courses to be completed are confirmed. After the exchange, the Learning Agreement must correspond to the official transcript of records provided by the host university.

If there are any changes to your Learning Agreement, update it through the OLA (Online Learning Agreement) system.

After the exchange

The exchange process and the conditions of the Erasmus+ grant require tasks also after the exchange (see the list below). If the student fails to complete the required post-exchange tasks, the UAS has the right to reclaim the grant.

All submissions must be made within one month of the end of the exchange. Send all documents required via email in one single message (confirmation of exchange, transcript of records, and link to the exchange report uploaded to Teams).

  • You must apply for credit transfer of the completed studies through the RPL application, per what was agreed in the Learning Agreement.

Traineeship

  • Work Certificate (proof of exchange)

  • Students who completed a traineeship do not submit an RPL application. Instead, they follow the standard instructions for completing the internship, provided by their lecturer.

Erasmus students will receive a link to the EU Participant Report feedback survey from the European Commission, which they are required to complete.

The link to the survey is sent automatically to the student email after the end of the exchange.

The student must write a report about their exchange experience within one month of the end of the exchange. The report is to provide information both to students selected for that particular destination and to those who wish to compare different destinations before the application process.

Report templates

The template provides a detailed structure of the report and includes guiding questions under each section. Remember to remove the guiding questions and any other instructions from your report.

  • The recommended length of the report is 3-5 pages.

  • The report should be named as follows (without brackets): [study field/year/host organization] [year] [host organization name] [your first and last name].

  • The report should be submitted as a PDF file to the appropriate folder in the Study Internationally Teams channel: Student Exchange Reports or Internship Exchange Reports (depending on your type of exchange).

  • Send the link to the uploaded report on Teams to the Erasmus coordinator via email at erasmusmobility@humak.fi.

Study Exchange: Submit the Letter of Confirmation signed by the host university to the Erasmus coordinator at erasmusmobility@humak.fi.
The letter must indicate the student’s participation in the exchange program and the dates of the completed exchange. If you did not receive this document from the host university, you can ask the university to fill in this template:

The certificate is also referred to as confirmation of stay, end of stay, or departure certificate.

Traineeship Exchange: Submit a work certificate signed by the host organization to the Erasmus coordinator at erasmusmobility@humak.fi. The certificate can be in a free format, but it must include the exact start and end dates of the traineeship. You can also use the last page of your Learning Agreement (section: After Mobility) as proof of exchange.

Submit the official Transcript of Records from the host university, listing the courses you completed during the exchange, to the Erasmus coordinator at erasmusmobility@humak.fi.
